This Privacy Policy explains how Circle City Homestead, LLC, doing business as The Rentalpedia ("Rentalpedia," "we," "us," or "our"), an Indiana limited liability company based in Indianapolis, Indiana, collects, uses, discloses, and protects information when you use our website and rental property analysis service (the "Service").
By using the Service, you agree to the collection and use of information as described in this Privacy Policy. If you do not agree, please do not use the Service.
1. Information We Collect
1.1 Information You Provide Directly
- Account information: name, email address, and password (managed through our authentication provider).
- Billing information: processed directly by our payment processor. We do not directly store your full payment card number.
- Property search information: street addresses and related property details you enter to receive a rental analysis.
- Communications: information you provide when you contact Support or Privacy at the addresses below.
1.2 Information Collected Automatically
- Usage data: searches performed, subscription tier, features used, timestamps.
- Device and technical data: IP address, browser type, device type, and similar diagnostic data.
- Cookies and similar technologies: used for authentication, session management, and basic analytics. See Section 7.
1.3 Information From Third-Party Services
To generate a rental analysis, we send the property address you enter to third-party market data and mapping providers, which return data used to compute your results. See Section 3 for details on these categories of providers.
We do not knowingly collect information from children. The Service is intended for users 18 years of age or older, and we do not knowingly collect personal information from anyone under 18. If we learn we have inadvertently collected information from a person under 18, we will delete it. We do not sell, share, or otherwise monetize any information from minors.
2. How We Use Information
We use the information we collect to:
- Provide, operate, and maintain the Service, including generating rental analyses;
- Process subscription payments and manage your account;
- Send transactional communications, including renewal reminders, price-change notices, and service updates (see Section 8);
- Respond to support requests;
- Monitor and improve the Service's performance, security, and reliability;
- Comply with legal obligations and enforce our Terms of Use.
3. How We Share Information
We do not sell your personal information, and we do not share it with third parties for their own marketing purposes. This is our current practice. If this ever changes in the future, we will update this Privacy Policy in advance and, where required by law, provide you with a mechanism to opt out before any such sharing begins.
We do share limited information with the following categories of service providers, solely to operate the Service:
- Google Maps Platform — We use Google's Places Autocomplete, Place Details, and Geocoding services to help you enter and validate a property address. Your use of these address-entry features is also subject to the Google Maps/Google Earth Additional Terms of Service and the Google Privacy Policy. We are contractually required by Google to disclose this to you.
- Third-party real estate market data providers — used to generate rent estimates, comparable properties, and market analytics from the address you submit. We do not disclose the specific identity of these data vendors, as this reflects proprietary business methodology; the categories of data exchanged (property address and resulting market data) are disclosed here in full.
- Third-party property data providers — used to retrieve supplemental property details and imagery for the address you submit.
- Payment processor — handles all billing and subscription payments. We do not store your full payment card details.
- Authentication provider — manages account creation, login, and session security.
- Hosting and infrastructure providers — host our backend and frontend systems.
Each of these providers processes data solely to provide services to us and is contractually restricted from using your information for their own independent purposes, except as required by their own applicable terms (such as Google's, linked above).
We may also disclose information where required by law, to protect our legal rights, to investigate fraud or security issues, or in connection with a merger, acquisition, or sale of assets (in which case we will notify you as required by law).
4. Data Retention
We retain personal information for as long as your account is active and for a reasonable period afterward to comply with legal, tax, and accounting obligations, resolve disputes, and enforce our agreements. Cached market data (address-level results from third-party providers) is retained only for the limited period necessary to reduce redundant API calls and improve performance, consistent with the terms of our data providers.
5. Your Privacy Rights
Depending on where you live, you may have some or all of the following rights regarding your personal information:
- Right to know / access what personal information we have collected about you;
- Right to correct inaccurate personal information;
- Right to delete your personal information, subject to certain legal exceptions;
- Right to opt out of the sale or sharing of personal information, and of targeted advertising (we do not currently engage in either, but honor this right on a going-forward basis, including recognition of the Global Privacy Control (GPC) signal where required);
- Right to non-discrimination for exercising any of these rights.
These rights are provided under applicable state privacy laws, including but not limited to the California Consumer Privacy Act (CCPA/CPRA), the Virginia Consumer Data Protection Act, the Colorado Privacy Act, the Connecticut Data Privacy Act, the Utah Consumer Privacy Act, the Indiana Consumer Data Protection Act (effective January 1, 2026), and comparable laws in other states as they take effect.

We will verify your request using the information associated with your account and respond within the time required by applicable law (generally 45 days, with a possible extension). You may designate an authorized agent to make a request on your behalf where permitted by law.
6. Data Security
We use commercially reasonable administrative, technical, and physical safeguards designed to protect your information, including encryption of data in transit, restricted access to production systems, and reliance on reputable, security-vetted service providers for authentication and payment processing. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
In the event of a data breach affecting your personal information, we will notify affected individuals and, where required, regulators and consumer reporting agencies, in accordance with the Indiana data breach notification statute and the laws of any other state in which affected individuals reside, without unreasonable delay.
7. Cookies and Tracking Technologies
We use cookies and similar technologies for:
- Essential functions — authentication and session management (required for the Service to work);
- Basic analytics — understanding aggregate usage patterns to improve the Service.
We do not currently use third-party advertising cookies or engage in cross-site behavioral tracking. If this changes, we will update this section and provide an opt-out mechanism, including honoring the Global Privacy Control signal where legally required.
8. Renewal, Price Change, and Cancellation Communications
If you have an active subscription, we will send you:
- An annual reminder that your subscription automatically renews, regardless of your plan's billing term, including how to cancel;
- Advance notice of any price increase or other material change to your plan, sent between 7 and 45 days before the change takes effect (the specific window depends on your plan's term and applicable state law), with instructions on how to cancel if you do not wish to continue at the new terms;
- These notices will be sent to the email address associated with your account, which is the same medium through which you originally subscribed.

9. International Data Transfers
The Service is intended for users located in the United States. We do not intentionally transfer your personal information outside the United States. Some of our service providers (including our payment processor and mapping provider) operate globally redundant infrastructure as part of their own operations, which may, in limited circumstances outside our control, involve processing on servers located outside the United States as part of that provider's standard infrastructure. We do not target, market to, or knowingly collect data from individuals located outside the United States.
10. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email or through a prominent notice on the Service prior to the change taking effect. Your continued use of the Service after a change becomes effective constitutes acceptance of the revised policy.
